Reasonable Accommodations

Submit an online request by completing the Reasonable Accommodation Request Form.

An employee may be required to submit supporting medical documentation within 15 days of the request. Their manager must send the job description to the Office of Leave and Accommodations.

  • You will receive a confirmation notice within 24-48 hours of submitting a reasonable accommodation request.
     
  • ​Instructions regarding the next steps will be communicated to the employee requesting accommodations, the related HR Business Partner, and the employee’s Manager and/or department head within 5 business days.
     
  • Sufficient medical documentation to support the accommodation request is due within 15 days if requested by the UHR Office of Leave and Accommodation.
     
  • ​The accommodation determination will be communicated within 30 days of the accommodation request. If necessary, additional time may be provided to obtain sufficient supporting documentation. The request for additional time must be communicated to all involved parties.
     
  • The UHR Office of Leaves and Accommodations will handle medical information and other sensitive documentation confidentially. HR Business Partners and the employee’s manager will be copied on request status notifications on a need-to-know basis.

Upon receiving the required medical documentation, the UHR Office of Leave and Accommodation will assess your request according to federal and state laws. The decision is made through collaboration with UHR, your manager, and other relevant experts.

The time frame varies based on factors like the timely submission of medical documentation and your engagement in the Interactive Process. While there's no standard timeframe, every effort is made for a timely decision.

You can appeal the denial through Brown University's ADA/Section 504 Coordinator at oiedintake@brown.edu. Initiate the appeal as soon as practicable upon receiving the denial.

Contact the UHR Office of Leave and Accommodation to update or close a pending Reasonable Accommodation request.
