New Hires

Welcome to Brown: we are glad you are joining us! Together, we can cultivate a collaborative and thriving community of exceptional talent.

As a Brown employee, you belong to a community that fosters innovation, diversity and inclusion. And as you begin a career journey at Brown, we offer information, resources and tools for getting started before your first day and during your early months as a Brown employee. This timeline will keep you on track to ensure your smooth transition.

BEGIN… Your career journey at Brown

Before Your First Day

Workday is the system of record for UHR and payroll at Brown, and you will use it to start the onboarding process. Upon acceptance of your offer letter, you will be prompted to enter personal information into Workday. The data you enter will generate your Brown ID #, and within one business day, an “onboarding process” will initiate in Workday.

You will need to “activate” your new Brown ID #.

On Your First Day of Work

All new hires are required to complete an I-9. (The Federal Form I-9 is used to verify the identity and employment authorization of individuals hired for employment in the United States.) You have two options:

  1. Visit the HR Service Center (HRSC) in person.
  2. Schedule an appointment at the HRSC to complete the I-9 remotely.

For both options, you will need to show your I-9 documentation when completing the I-9 form.

During Your First Week of Work

You will receive an email message that includes the date, time and Zoom link for Brown’s New Hire Orientation program. During this session, you will receive pertinent information about benefits enrollment and using Workday.

Compliance with Title IX and other laws developed to promote gender equity is a key component of Brown’s efforts to ensure a diverse and inclusive environment.

You must complete the Title IX Training in your first week of employment.

Within Your First Month at Brown

You have 31 calendar days from your date of hire to submit your benefit election and provide dependent documentation. Benefits begin on the 1st of the month following your date of hire – unless hired on the 1st of a month. Once you complete your enrollment online, enrollment information is sent to vendors on weekly files. Timing is key!
