BEGIN… Your career journey at Brown
Before Your First Day
Workday is the system of record for UHR and payroll at Brown, and you will use it to start the onboarding process. Upon acceptance of your offer letter, you will be prompted to enter personal information into Workday. The data you enter will generate your Brown ID #, and within one business day, an “onboarding process” will initiate in Workday.
You will need to “activate” your new Brown ID #.

The Benefits Orientation will help you understand and navigate the range of benefits available to you at Brown. You will learn about health insurance, retirement savings, flexible spending, wellness and more.

On Your First Day of Work
All new hires are required to complete an I-9. (The Federal Form I-9 is used to verify the identity and employment authorization of individuals hired for employment in the United States.) You have two options:
- Visit the HR Service Center (HRSC) in person.
- Schedule an appointment at the HRSC to complete the I-9 remotely.
For both options, you will need to show your I-9 documentation when completing the I-9 form.
During Your First Week of Work
Eligible newly hired employees will be prompted to register for the virtual orientation program through Workday during their first week of employment. The new employee should attend this session to receive pertinent information regarding Brown University’s benefits and an Introduction to Workday. Current employees being promoted or transferred are not required to attend a new hire orientation. For any questions or inquiries, please contact employment@brown.edu.
Compliance with Title IX and other laws developed to promote gender equity is a key component of Brown’s efforts to ensure a diverse and inclusive environment.
You must complete the Title IX Training in your first week of employment.
Within Your First Month at Brown
You have 31 calendar days from your date of hire to submit your benefit election and provide dependent documentation. Benefits begin on the 1st of the month following your date of hire – unless hired on the 1st of a month. Once you complete your enrollment online, enrollment information is sent to vendors on weekly files. Timing is key!

Payroll
Non-exempt employees are paid weekly, bi-weekly, and exempt employees are paid monthly. Payroll Services handles the processing and payment of all Brown employee payrolls. Some transactions related to your paycheck are completed in Workday including entering time worked and setting up direct deposit.

Probationary Period and Professional Development Planning
All new hires complete a probationary period of 90 days. Your manager will review your probationary appraisal with you before the probationary period expires.
Over the first three months, you and your manager will also set goals, including identifying opportunities available in Brown’s Learning, Development and Engagement programs.
