Student Payroll

Working as a student employee at Brown comes with a few important systems and policies related to how you get paid, how you report your time and what to expect for taxes and benefits. This page brings everything together so you can easily understand how student employment payroll works.

Pay Rates for Student Employees

Any work performed by students in exchange for compensation is governed by federal regulations under the Fair Labor Standards Act (FLSA) and the U.S. Department of Labor.

Note: Effective January 2023, pursuant to the Rhode Island Pay Equity Law requirements, employers are prohibited from asking any wage history from candidates.

Payment Methods and Setup

Brown offers two ways to receive your paycheck: direct deposit or paper check. Direct deposit is strongly encouraged because it is faster and more reliable.

Direct Deposit (Recommended)

Direct deposit sends your pay straight to your bank account, making it the quickest and most secure option. To set it up in Workday, you’ll need a U.S. Social Security Number (SSN). While this requirement may take some time for new students, enrolling in direct deposit as soon as you’re eligible is strongly encouraged so you can receive payments without delay.

Paper Check

If you do not set up direct deposit, your paycheck will be mailed to your campus mailbox. This option is still fully valid, but it may take longer to receive your pay compared to direct deposit.

Setting Up Your Payment Method in Workday

You can choose or update your payment method directly in Workday under Payment Elections. If no direct deposit is set up, Workday will automatically default to paper checks until your SSN is entered and direct deposit is activated.
