Temporary Employees: nextSource

nextSource is used for contract staffing resources whether it be a referred payroll employee or an open position that needs recruiting support.

nextSource recruits directly and/or deploys a broad network of suppliers to identify the best available resource to fill your work need. In addition, they take all administrative and legal responsibility for paying wages and benefits and submitting local, state and federal payroll taxes for temporary workers.

  • Conduct pre-hire screenings and maintain employment records
  • Relieve risks associated with workers’ compensation and other types of insurance
  • Relieve the expense of unemployment for the University
  • Conduct on-boarding and off-boarding processes
  • Protect against misclassification and penalties
  • Payrolling of pre-identified staff domestically or internationally
  • Identify the skills required to do the job.
  • Complete the Intake Form.
  • Contact the Brown Program Team at brown@nextsource.com to set up a username and password to access the nextSource electronic system, VNDLY.
  • Associates must enter and submit time in VNDLY by Monday at 4 pm ET to ensure the timesheet is able to be approved by their manager/supervisor.
  • Supervisors must approve submitted hours by Tuesday at 10 am ET using nextSource & VNDLY electronic system.
  • One bill will be sent weekly to each department for the temporary worker’s approved hours worked for that payroll billing week.
  • nextSource invoices will be sent to the billing contact** on the Intake Form. Please review bill and initiate payment in Workday using the Create Supplier Invoice business process; attach the nextSource bill to the Workday supplier invoice. It is important that invoices are paid net 10 days from date of invoice, so please defer to your department heads on ensuring the correct billing process is in place. Please note we can only have one billing contact per department.
  • Review billed hours in VNDLY, and track payments in Workday.
  • If you have questions regarding your department's payment process, please reach out to your finance partner.

** If your department works with the Academic Finance and Administration (AFA) department at Brown, please have the invoice go to the hiring manager FIRST and then send the invoice to your Financial Coordinator in the AFA to be paid.

Onboarding process includes:

  • Onboarding process can take 1-2 weeks depending on associates’ attention to onboarding paperwork and emails.
  • Email from the associate services team welcoming them to nextSource.
  • Email from onboarding with links to complete: I9, onboarding portal and background check from HireRight.
  • Follow up from onboarding on missing items.
  • Clear to start email from associate services detailing timesheet process and program guide along with who to contact for any issues.


Requesting Access: Sponsored ID, Brown email and Workday

  • Sponsored ID: Sponsored ID Request Process
  • Brown email:  First would need to request a sponsored ID from the card office, see link above. 
  • Workday: Program team is responsible for emailing Brown HR for associate workday access request.
