Adoption Reimbursement

Brown University is committed to supporting staff and faculty as they grow their families. To help offset the costs associated with legally adopting a child, the University provides a one-time reimbursement of up to $5,000 per calendar year for eligible adoption-related expenses.

Eligibility

To qualify for this benefit, you must meet the following criteria:

  • You are a faculty or regular staff member working at least 67% time* or greater
  • You have completed at least one year of continuous service immediately prior to beginning the adoption process
  • The child must be under 18 years of age at the time the expenses are paid or incurred

Note: If both parents are employed by Brown, only one parent is eligible for the reimbursement. This benefit does not apply to the adoption of a spouse’s or domestic partner’s child.

* Percent time is calculated by dividing your scheduled hours and months by the University's standard hours and months for a  full-time schedule.

Qualified Expenses

Reimbursement is available for "reasonable and necessary" expenses directly related to one adoption event per employee, per calendar year. These include:

  • Professional Fees: Adoption agency fees, court costs and attorney fees
  • Travel: Transportation, meals and lodging while away from home during the adoption process
  • Legal Requirements: Other expenses required for the principle purpose of the legal adoption

What is not covered?

  • Expenses reimbursed by other state, local or federal programs
  • The adoption of your spouse’s or domestic partner’s child
  • Costs associated with surrogate parenting arrangements
  • Expenses incurred while you were not in a benefits-eligible position at Brown
  • Any arrangement that violates state or federal law

How to Apply

This is a reimbursement program. Eligible employees may apply for reimbursement for qualified expenses incurred within the current or prior calendar year.

  1. Gather all itemized invoices and verifying legal documents
  2. Submit the adoption assistance form
