Child Care Subsidy for Faculty, Staff and Postdoctoral Research Associates

The Child Care Subsidy for faculty, staff and postdoctoral research associates provides financial assistance to eligible employees to help offset the cost of child care for dependents aged 0 to 6.

2026 Application Cycle

  • Applications Open: September 22, 2025
  • Deadline: October 27, 2025

Late Applications: Applications submitted after the October deadline will be reviewed only if funding remains available. Awards for mid-year applicants may be prorated based on submission timing.

Eligibility

To qualify, applicants must meet the following criteria:

  • A benefits-eligible University employee (faculty, non-union staff, union Dining Services/Facilities Management/Library staff, or a postdoctoral research associate) with a 67-100% FTE appointment.
  • Unmarried OR have a spouse who meets at least one of the following criteria:
    • Employed at least part-time
    • A full-time student
    • Considered legally disabled
    • Unemployed but actively seeking employment (must have legal U.S. work authorization; documentation such as a work visa may be required)
  • Have a total household adjusted gross income (AGI) of $150,000 or less, as reported on the previous year’s IRS Form 1040
  • Have a legal dependent (as defined by IRS regulations) between the ages of 0 to 6 for whom you are financially responsible in the upcoming year

Application Requirements

Application are considered complete only when all required materials are submitted:

  • Completed 2026 application form
  • First two pages of your 2024 IRS Form 1040 (and your spouse's, if filed separately)
  • Copy of the birth certificate or adoption certificate for each child (if not already on file in Workday)
  • Work visa documentation (if applicable, for a spouse who is unemployed but actively seeking employment)

All materials must be submitted to University Human Resources at childcare@brown.edu. Incomplete applications, including those missing documentation, will not be reviewed.

Disbursement

Approved applicants will receive their Child Care Subsidy awards in January and July 2026. Employees may choose one of the following options:

  • Tax-Free Dependent Care Flexible Spending Account (FSA): Funds can be deposited into a Dependent Care FSA. IRS contribution limits apply; total annual contributions from all sources are capped at $7,500.
  • Taxable Check: Employees may choose to receive their award as a taxable check. Awards for applications submitted after the Open Enrollment period will automatically be issued as taxable payments.
