1. Identify the skills and requirements for the role

3. Contact the Brown nextSource Program Team at brown@nextsource.com to request access to VNDLY (their system)

• Workers must submit time in VNDLY by Monday at 4 p.m. ET
• Supervisors must approve time by Tuesday at 10 a.m. ET
• Departments receive a weekly invoice for approved hours

Payment Process

• Invoices are sent to the billing contact listed on the Intake Form
• Submit payment in Workday using Create Supplier Invoice and attach the nextSource invoice
• Payments should be completed within 10 days of the invoice date

Please note that each department may designate only one billing contact. For billing questions, contact your department’s finance partner. 

If your department works with Academic Finance and Administration (AFA), invoices should be reviewed by the hiring manager before being submitted for payment.

The onboarding process is managed by nextSource and typically takes 1-2 weeks, depending on completion of required steps.

Key steps include:

• Welcome communication from nextSource
• Completion of I-9, onboarding portal and background check (via HireRight)
• Follow-up on outstanding items
• “Clear to start” confirmation with timekeeping and program details

Managers are responsible for coordinating access and equipment as needed:

• Sponsored ID and Brown Email: Requires a Sponsored ID Request
• Workday Access: Program team is responsible for emailing Brown HR for Workday access request
• Equipment: Work with IT; ensure timely return of equipment at assignment end
